Remote employee monitoring software for hybrid teams

When people work from home, on the road or across several offices, managers lose the everyday view of how work is going. Forever Systems supplies, sets up and supports Teramind for remote and hybrid teams, configured for working hours and with home privacy in mind.

In short

Remote employee monitoring software records activity on work computers wherever staff are working, so organisations can see workloads, working hours and security risks across home, office and travel. Teramind adds remote and hybrid workforce dashboards, location reporting, work schedules and a visible clock-in agent. UK law expects extra care, because privacy expectations are higher at home.

Why remote and hybrid teams use monitoring software

Remote working changes what managers can see. In an office you notice an overloaded colleague, a process that keeps stalling or a contractor copying files to a USB stick. At home, all of that happens out of sight. Remote employee monitoring software, sometimes called remote working monitoring software, puts that visibility back on the work computer itself.

The questions it helps answer are usually practical:

  • Are remote teams working the hours we expect, or are some people consistently starting early and finishing late?
  • Does work look different in the office and at home, and is our hybrid policy working?
  • Which tools do remote staff depend on, and where does time go?
  • Is sensitive data leaving through personal email, cloud storage, USB drives or AI tools while staff are off the corporate network?
  • Are contractors and freelancers working, and billing, the time they record?

These are fair questions, but the answers have to be gathered in a way that respects the fact that the computer is now in someone's home. That shapes every setting on this page.

It also helps to be honest about what software cannot do. It sees the work computer, not the person, so it will not capture a phone call on another device, time spent with a customer or thinking away from the desk. For many hybrid working questions, regular conversations and clear objectives will tell you more than any dashboard; monitoring works best as a source of evidence alongside them.

What Teramind offers for remote and hybrid work

The Teramind agent runs on the work computer and reports to your Teramind server, whether that is Teramind Cloud, your own private cloud or an on-premises server, so monitoring works in the office, at home and on the move. The features most relevant to remote teams:

  • Remote Workforce Activity view: a tab on the Productivity dashboard showing engagement, how time splits between work-related and other activity, and when in the week remote employees are most active.
  • Hybrid Workforce Monitoring view: compares engagement and application use between in-office and remote employees, to test whether a hybrid policy is working.
  • Office-by-office comparison: productivity by location, including out-of-office working.
  • Location reporting: from the UAM plan, Teramind can record where a computer is used and match it, together with known Wi-Fi networks, to the office locations you define, so time is reported as in-office or out-of-office. Geolocation is supported on Windows and largely on macOS, but not on Linux.
  • Work schedules and schedule rules: expected hours per person or team, with alerts for late starts, early finishes, absence, long idle periods and working on days off (schedule rules are not supported on macOS).
  • Time tracking by task: time cards and task costs, useful for client billing and for contractors.
  • Remote desktop sessions: recording of RDP, terminal server, Citrix and VMware Horizon sessions where remote staff work on hosted desktops.

Teramind's engagement figure is a measure of keyboard and mouse input, and Teramind itself says it measures input activity, not productivity. That matters more for remote staff, whose calls, reading and thinking time can look idle. See employee productivity monitoring software for how productivity is classified.

Revealed, Standard or Stealth: the agent choice for remote staff

Teramind offers three agent types that behave differently, and for remote workers the choice is both practical and legal:

AgentHow it worksSuits
Revealed agentVisible on the computer. The user signs in, chooses a task and clocks in and out; monitoring runs only while they are clocked in. It does not record or track time while disconnected from the server. Installed locally.Contractors, freelancers and anyone you want to make monitoring clearly visible to
Standard agentNo user interface; monitors automatically once installed. The user must accept an acknowledgement notice at installation, so Teramind requires it to be installed locally rather than pushed remotely.Trial and unvetted accounts; it behaves like the Stealth agent but shows each user a notice at installation
Stealth agentNo user interface and no acknowledgement; monitors automatically and can be deployed remotely. Teramind offers it only to customers who pass its vetting process.Organisations that need consistent coverage of company devices, within a transparent policy

The Standard and Stealth agents can keep recording while a computer is offline and upload when it reconnects; offline recording is off by default and is switched on in the monitoring profile. The Revealed agent does not record offline.

A hidden agent does not have to mean hidden monitoring: you can run the Stealth agent openly, with staff told about it in your monitoring policy. Using it without telling people is covert monitoring, which the ICO says is rarely justified; see covert monitoring of employees.

Settings that respect home life

Because a home computer can see family life, the configuration matters more than the feature list. The settings we recommend considering for remote staff:

  • Working-hours schedules: record only during contracted or agreed hours, or only while a Revealed agent user is clocked in.
  • Exclusions: leave personal banking, health, and similar sites out of monitoring; excluded windows are blacked out in recordings.
  • Lighter screen capture: live view only, or video kept only around rule violations, instead of continuous recording.
  • Audio and camera: audio is off by default and we suggest leaving it off; the ICO gives automatic webcam images of remote workers as an example of disproportionate monitoring.
  • Location: report in-office or out-of-office status if that is all you need, rather than detailed movements.
  • Aggregated reporting first: team-level views for hybrid policy questions, with individual detail only where there is a specific reason.
  • Company-owned devices: monitor work devices rather than personal ones, where private and work information are much harder to separate; see monitoring employees' personal devices.

Roll-out for remote devices depends on the agent. The Stealth agent can be deployed silently through a device management tool such as Microsoft Intune, through Group Policy or SCCM, through Jamf for Macs or from Teramind's own dashboard-based remote installer. The Standard and Revealed agents are installed locally on each computer. Forever Group can also help with Microsoft Intune if you need device management in place first.

The ICO's guidance on monitoring workers applies to homeworking: monitoring a worker at home is not the household processing that falls outside data protection law. The ICO makes several points that bear directly on remote monitoring:

  • Workers' expectations of privacy are likely to be significantly greater at home than in the workplace.
  • The risk of capturing information about workers' family and private lives is higher, and you should factor that into your DPIA.
  • You must use the least intrusive means: the ICO's example is that using webcam images to check remote workers' start times is likely to be disproportionate, when checking log-on times and letting workers explain discrepancies does the same job.
  • Workers must be told about monitoring, and should be able to see and challenge the results.

Our page on monitoring employees working from home goes further. Good monitoring works best alongside good habits, so pair it with remote working security training for your staff. This is general information, not legal advice.

How Forever Systems helps

We supply, set up and support Teramind for remote and hybrid teams:

  1. Scope: which teams, which questions, and which features those questions need. Hybrid policy reviews often need only aggregated views.
  2. Choose the agent and plan: Revealed, Standard or Stealth, and Starter or UAM and above, depending on whether you need location reporting, email, files or deeper security channels.
  3. Deploy to remote devices: silent installation of the Stealth agent through your device management tool or Jamf for Mac, or a guided local install of the Revealed or Standard agent.
  4. Configure for home life: schedules, exclusions, lighter screen capture and role-based access agreed in your DPIA.
  5. Set up the dashboards: Remote Workforce Activity, Hybrid Workforce Monitoring and office locations, so managers see what they need and no more.

How Forever Systems helps with employee monitoring

We supply, set up and support Teramind for UK organisations. Monitoring only works if it is lawful and trusted, so we help you collect what you can justify rather than everything the product can record.

  • Scoping: we talk through what you want to achieve, who and which devices are in scope, and which Teramind plan and hosting option fit
  • Inputs for your paperwork: we explain what each setting records, so your data protection impact assessment and monitoring policy describe the real set-up
  • Privacy-first configuration: recording schedules, exclusions, masking, role-based access and a visible agent where that is right for you
  • Deployment: agent roll-out through your existing device management tools, plus the rules, alerts and dashboards that answer your questions
  • Ongoing help: we can help your administrators tune rules, keep agents up to date and review plans and licence counts at renewal

We are an IT and cyber security provider, not a law firm: for legal questions about monitoring your staff, take advice from an employment or data protection lawyer. Ask us for a quote and we will reply with options.

Frequently asked questions

How do you monitor remote employees?

Most organisations install a monitoring agent on company laptops that records activity wherever the device is used and reports to a central dashboard. Good practice is to monitor only during working hours, exclude personal activity, start with team-level reporting, tell staff what is monitored and complete a DPIA, as the ICO expects.

Can Teramind monitor staff who are not on the company network?

Yes. The agent runs on the work computer and reports to your Teramind server wherever the device is, as long as it can reach that server. The Standard and Stealth agents can also record while offline and upload when they reconnect, once offline recording is switched on; the Revealed agent does not record or track time while disconnected.

Can Teramind tell whether someone is working from home or the office?

From the UAM plan, Teramind can record a computer's location and match it, together with known Wi-Fi networks, to the office locations you define, reporting time as in-office or out-of-office. Geolocation works on Windows and largely on macOS, but not on Linux. Only collect location data if your purpose needs it.

Is it legal to monitor employees working from home in the UK?

Yes, if it is lawful, proportionate and transparent. The ICO says privacy expectations are higher at home and the risk of capturing family life is greater, so you need a DPIA, working-hours limits and the least intrusive approach. The ICO's own example of disproportionate monitoring is using webcam images to check remote workers' start times. This is general information, not legal advice.

Which Teramind agent is best for contractors?

The Revealed agent is usually the better fit. It is visible on the computer, and contractors sign in and clock in and out against tasks, so monitoring and time tracking run only while they are working. That makes the arrangement transparent and the hours easy to reconcile.
