In short
Teramind vs ActivTrak comes down to purpose. ActivTrak is privacy-first workforce and productivity analytics and states it does not use keystroke logging, email-content monitoring or camera access. Teramind covers productivity too, but adds screen recording, keystrokes, email, insider risk rules, content-aware DLP and private cloud or on-premises hosting for security-led monitoring.

Teramind and ActivTrak at a glance
Both products put a lightweight agent on work computers and report on applications, websites, active time and productivity. The difference is how far each goes beyond that. This summary uses each vendor's own website and documentation as we found them on 1 November 2026:
| Teramind | ActivTrak | |
|---|---|---|
| Main focus | User activity monitoring, insider risk and DLP, plus productivity analytics | Workforce management, productivity optimisation and AI usage insight |
| Plans | Starter, UAM, DLP and Enterprise | Work Activity Tracking, Workforce Management, Productivity Optimization and Workflow, plus a free option and an AI Insights add-on |
| Screen capture | Screen recording and live view on every plan; recording only on rule violations from the UAM plan | No video recording; screenshots only through the optional Screen Details add-on, triggered by alarm conditions |
| Keystrokes, email content, camera | Keystrokes, email and camera usage channels from the UAM plan, each switchable | States it does not use keystroke logging, email-content monitoring or camera access |
| Data loss prevention | Content-based rules, redaction, clipboard inspection and automatic blocking on the DLP plan | Security alarms and domain blocking; content inspection is not described |
| Insider risk | Behaviour rules and an Insider Threat Detection dashboard, with anomaly detection and dynamic risk scoring from the UAM plan | Compliance alerts and technology usage reporting |
| Hosting | Teramind Cloud, private cloud (AWS or Azure) or on-premises | ActivTrak's cloud |
| Platforms | Windows, macOS and Linux (fewer features on Mac and Linux) | Windows and macOS agents, among others |
Neither column is better in the abstract. They answer different questions, and the right one depends on what you need to know and what you can justify collecting.

What ActivTrak does
ActivTrak describes itself as a work intelligence platform and takes a deliberately privacy-first position. Its FAQ says the platform "does not use keystroke logging, email-content monitoring or camera access", and its features page adds no personal device monitoring and no video recording. Its help centre lists the privacy defaults:
- Sensitive details hidden by default: full URLs and window titles are hidden from reports unless a plan and setting allow them.
- Anonymised and aggregated data: user data can be anonymised and aggregated, and the Workflow offering only gives aggregated, non-individualised insights at task, role and team level.
- Do Not Track list: stops data collection for a user's device.
- Personal Insights: employees can see their own work data.
- Screenshots as an add-on: ActivTrak does not take screenshots by default; the Screen Details add-on captures them when configured alarm conditions are met.
Its plans focus on time and attendance, schedule adherence, application and website usage, workforce utilisation and capacity, productivity trends and, through the AI Insights add-on, how staff adopt and use AI tools. ActivTrak offers Windows and macOS agents, among others, which can be deployed directly or pushed out with Group Policy, SCCM or other remote management tools.
What Teramind does
Teramind covers the same productivity ground, with productivity profiles, active and idle time, schedules and workforce dashboards (see employee productivity monitoring software). The difference is the security layer on top:
- Screen evidence: live view and recorded sessions on every plan, and from the UAM plan an option to record only when a rule is broken. See screen monitoring software for employees.
- Wider channels from the UAM plan: email, files, printing, keystrokes, online meetings, console commands, camera usage and geolocation.
- Insider risk: behaviour rules, anomaly detection, dynamic risk scoring and forensic playback. See insider threat detection software.
- Data loss prevention: on the Teramind DLP plan, content rules for files, email, IM, the clipboard, keystrokes and AI chats, with redaction and automatic blocking.
- Hosting choice: Teramind Cloud, a private cloud in your own AWS or Azure account, or on-premises. See Teramind deployment options.
Every channel can be switched off or scoped by group and schedule, so a Teramind set-up can be as light as your purpose requires. What it offers that ActivTrak does not is the option to go deeper when a security purpose justifies it.
Weighing up the options?
We can compare them against your own requirements and give you a straight answer.
The key differences in practice
Four differences usually decide it:
- What you can prove. ActivTrak tells you how time is spent. Teramind can also show what happened on screen and in files and email, which matters for investigations and disputes.
- Whether you can stop a leak. ActivTrak can alert on and block domains. Teramind's DLP plan inspects content and can block a copy, upload or paste on the computer itself.
- How much you collect by default. ActivTrak's privacy defaults collect less from the start. With Teramind, proportionality comes from how we configure it, which is more flexible but needs more care.
- Where the data lives. ActivTrak is a cloud service. Teramind can be hosted in your own cloud account or on your own servers if data location is a deciding factor.
ActivTrak's documentation describes transparent and silent deployment, and Teramind offers a hidden Stealth agent to vetted customers only. Under UK law the ICO expects you to tell workers about monitoring except in exceptional, targeted covert cases, whichever product you use; see covert monitoring of employees.
Which suits you
ActivTrak is likely to suit you if:
- Your purpose is workload, capacity and productivity insight rather than security.
- You want privacy-first defaults and aggregated reporting to help staff accept the tool.
- A cloud-only service and Windows and macOS coverage meet your needs.
Teramind is likely to suit you if:
- You need an audit trail and evidence for investigations, not just trends.
- You need to prevent sensitive data leaving, including through AI tools, USB storage or personal email.
- You need private cloud or on-premises hosting, Linux coverage or terminal server and virtual desktop sessions.
- You want productivity analytics and insider risk in one agent rather than two products.

Licensing, trials and getting started
Both vendors license per person, but they package it differently:
| Teramind | ActivTrak | |
|---|---|---|
| Licence unit | Each monitored user, with a five-seat minimum | Per worker |
| Terms | Monthly or annual on Starter, UAM and DLP; Enterprise is tailored | Annual pricing on its published plans, with custom and enterprise options on request |
| Add-ons | OCR as a paid add-on below Enterprise | AI Insights, Screen Details and extra data history |
| Trying it | Free trial and live demo; trial accounts use a Standard agent that shows an acknowledgement notice | A free option and a free start on paid plans |
A like-for-like comparison has to match the jobs as well as the licences. An analytics plan plus add-ons can end up closer to a monitoring plan than the headline suggests, and the reverse is also true if you only need part of what Teramind can do. We do not publish prices: ask us for a quote for Teramind and we can set out the plan, add-ons and term that match your purpose.
Whichever product you trial, treat the trial as monitoring: tell the people involved, keep the group small and switch off anything the trial does not need.
The UK law angle
ActivTrak's design choices line up with several things the ICO's guidance warns about: the ICO lists keystroke monitoring among the high-risk examples that need a DPIA, says you are particularly unlikely to be able to justify capturing webcam shots or footage, and suggests aggregated analytics reports that identify trends without identifying individual workers. That does not make ActivTrak automatically lawful, or Teramind unlawful. It means a deeper tool needs a stronger, documented justification for each channel you switch on.
With Teramind, we help you build that justification into the configuration: channels off unless needed, working-hours schedules, exclusions, masking, role-based access and the visible Revealed agent where transparency matters. The employee monitoring DPIA page explains how those settings feed the assessment. This is general information; take legal advice for your situation.
How Forever Systems helps
We supply, set up and support Teramind, not ActivTrak, so we aim to be clear about where Teramind is and is not the better fit. If your purpose needs Teramind's depth, we scope the plan, hosting and channels with you, arrange a trial, roll out the agent and configure it around your DPIA. See Teramind pricing and plans for what each plan includes, then contact us to talk it through.
How Forever Systems helps with employee monitoring
We supply, set up and support Teramind for UK organisations. Monitoring only works if it is lawful and trusted, so we help you collect what you can justify rather than everything the product can record.
- Scoping: we talk through what you want to achieve, who and which devices are in scope, and which Teramind plan and hosting option fit
- Inputs for your paperwork: we explain what each setting records, so your data protection impact assessment and monitoring policy describe the real set-up
- Privacy-first configuration: recording schedules, exclusions, masking, role-based access and a visible agent where that is right for you
- Deployment: agent roll-out through your existing device management tools, plus the rules, alerts and dashboards that answer your questions
- Ongoing help: we can help your administrators tune rules, keep agents up to date and review plans and licence counts at renewal
We are an IT and cyber security provider, not a law firm: for legal questions about monitoring your staff, take advice from an employment or data protection lawyer. Ask us for a quote and we will reply with options.
Frequently asked questions
Is Teramind or ActivTrak better?
Neither is better in general. ActivTrak is built for privacy-first workforce and productivity analytics. Teramind covers productivity as well but adds screen recording, keystrokes, email, insider risk rules, data loss prevention and on-premises hosting. Choose the one that meets your purpose with the least intrusion.
Does ActivTrak record screens or keystrokes?
ActivTrak says it does not use keystroke logging, email-content monitoring, camera access or video recording. Screenshots are not taken by default; they are available through its optional Screen Details add-on, which captures them when configured alarm conditions are met.
Can ActivTrak prevent data loss like Teramind DLP?
ActivTrak offers security alarms and domain blocking, but its published material does not describe content inspection. Teramind's DLP plan inspects content in files, email, instant messages, the clipboard, keystrokes and AI chats and can block or redact on the computer itself.
Can Teramind be set up as privately as ActivTrak?
Teramind can be configured to collect much less than it is capable of: channels can be switched off, monitoring limited to working hours, sites and apps excluded, sensitive data masked and access restricted by role. ActivTrak starts from more restrictive defaults; with Teramind, privacy depends on careful configuration.
Does ActivTrak offer on-premises hosting?
ActivTrak's security material describes customer data held in its cloud environment, and we found no on-premises option in its published plans. Teramind offers Teramind Cloud, private cloud in your own AWS or Azure account, and on-premises deployment.
